You have multiple options for bulk importing recipients into Boldem:
- Copy and paste list of email addresses
- From Excel file (.xls, .xlsx)
- From CSV file (.csv)
- Via customer support – this method is intended for larger databases or encounter any issues during the import process.
You can import recipients either to all recipients or to a specific mailing list. For practical reasons, we recommend that you always import recipients into a separate recipient list so that you can easily sort, merge, split, or segment them.
So before you start importing, create a mailing list:
- Log into the Boldem app and select Mailing lists from the left-hand menu.
- Click the Create a mailing list button located on the right side of the screen.
- Fill in the name of the list and confirm the dialog by clicking Create a mailing list.
After creating a mailing list, choose one of the import methods below.
Importing recipients by copying and pasting email addresses
If you have a list of email addresses or text containing email addresses, the simplest way to import them is by copying the content and pasting it directly into the system. This method imports only the email addresses without any additional data. Here is how to do it:
- Open the mailing list to which you want to import new recipients.
- Click Add recipient and select Import recipients in bulk.
- Click the From a text tab and enter the text that contains the emails into the box.
- Confirm your choice by clicking Load recipients.
- Choose how you want to manage recipients in the form. If you only want to add the recipient to an existing list, there is no need to modify any settings; just confirm by clicking the Import button.
Note: If you are importing a large number of email addresses, it may take some extra time, so please remain patient. - When processing is complete, click Show mailing lists.
Once the import is finished, you may see information regarding addresses that the system has identified as incorrect.
Importing recipients from Excel (.xls, .xlsx) and CSV (.csv) files
A convenient method for importing recipients, offering the option to include additional data beyond just email addresses. If your database includes phone numbers or dates, refer to details on the correct formatting for phone numbers and dates.
Note: Before importing data from an MS Excel (.xls or .xlsx) file, it’s advisable to remove any formatting (cell backgrounds, borders, bold fonts, etc.) from the table. Failure to do so may result in difficulties processing the file and reading its data correctly.
- Open the mailing list to which you want to import new recipients.
- Click Add recipient and select Import recipients in bulk.
- Drag an Excel file (.xls, .xlsx) into the box or select it by clicking Upload a file from disk.
- The import form will be displayed with a preview of the recipients. There, you can choose how you want to manage the recipients. If your intention is to simply add them to an existing list, no changes are required in the settings.
- At the bottom of the dialog, you will find a preview of your recipients and the pairing of each column. The system will try to pair the columns automatically, but it may not always succeed. Therefore, please ensure that each column matches the data you intend to import. Specifically, verify that the Email column contains the recipients’ email addresses.
If you are importing columns that are not listed in the system, click on the link above the recipient preview table and add them to Boldem as required.
- Click Import to confirm the dialog.
Note: If you are importing a large number of email addresses, it may take some extra time, so please remain patient. - When processing is complete, click Show mailing lists.
Once the import is finished, you may see information regarding addresses that the system has identified as incorrect.
Imported data format
While importing, you might come across various types of errors, typically associated with incorrect data formatting.
Phone number format
The telephone number must be in the correct international format, including the international country code, and it must also comply with the specific formatting rules of the respective country.
Examples:
- Czech Republic: +420 608 123 456
- United States of America: +1 206-555-0100
- Slovakia: 421912345678
- Argentina: +54(11) 15 1234-5678
You can omit the plus (+) symbol at the beginning, and the use of spaces, hyphens, or brackets to separate numbers is not important either. As long as the number aligns with the correct national format of the country, Boldem can successfully import it. Otherwise, you will receive notifications about records with incorrect data during the import process:
Date format
If you are importing recipients with a date column or a date and time column, ensure that the data format aligns with the settings in your Boldem account. You can access these settings by logging into your Boldem account and navigating to Settings/General/Basic settings/Regional settings.
