Can I use variables in the sender’s name and email?

Yes, you can use variables in the sender’s name and email. However, for them to work correctly, you need to have custom fields created with the data you want to use.

1. What are variables in the sender and sending email used for?

Variables are useful, for example, when your company has multiple salespeople, each responsible for a specific group of customers. You want to regularly send those customers bulk personalized messages, but you also want each message to be sent from the email address that shows the name of the salesperson responsible for that customer.

To avoid handling this manually before each delivery, assign one or more variables to individual recipients to set the salesperson’s name and email address. The message will then be sent to each recipient from that salesperson. It looks better and improves open rates.

2. How do I add the sender’s email address and name to the system?

Go to Mailing lists/Custom fields and click Create custom field to create two custom fields of type Text — one for the email prefix and one for the merchant name.
In the email custom field, enter only the part of the address before the @ (e.g., jan.novak). The domain (e.g., @example.cz) will be added automatically by the campaign.

You can enter any text in the custom field for the sender name. This text will be displayed to recipients as the sender’s name.

Now we’ll upload data into these newly created custom fields using the bulk import of recipients. The file you import must contain the addresses and data to be uploaded into these custom fields, with each item in a separate column. We’ll upload the addresses and data to the list we plan to use for the delivery.

When uploading, select the corresponding columns in the imported file for each piece of data: recipient address to the email column, and sender address and name to the newly created custom fields.

All addresses you deliver emails to must have these details assigned. Otherwise, messages may not be dispatched, or will very likely end up in spam.

3. Which variable do the custom fields we just created use?

Custom field variables are always derived from the identifiers you can find in Mailing lists/Custom fields and include the prefix “contact”. For example, if you create a custom field with the identifier jmeno_obchodnika, the variable will be {{contact.jmeno_obchodnika}}. You can find this identifier in the overview of custom fields.

4. How to use these variables correctly?

You can use custom field variables anywhere you would normally enter plain text. In this case we will use them in the campaign settings, specifically as the message sender:

  • In the Sender name field insert the variable corresponding to the sender’s name.
  • In the part before the @ in the sender’s email field insert the variable corresponding to the sender’s email.

These variables will be automatically replaced upon dispatch with the text you uploaded in the previous step.
